How we collect, use, and protect your personal information — written in plain English and aligned with the Texas Data Privacy and Security Act.
At Stacy Gonzalez Realty Group (“SGR Group,” “we,” “our,” or “us”), we take your privacy seriously. This Privacy Policy explains what information we collect when you visit sgrwelcomehome.com or work with us as a client, how we use that information, who we share it with, and the rights you have over your personal data.
We’ve written this policy in plain English. If anything is unclear, please contact us — we’re happy to explain.
1. Who We Are
SGR Group is a real estate brokerage based in Midland, Texas, serving buyers, sellers, and relocators in Midland, Odessa, and the surrounding Permian Basin.
Stacy Gonzalez is the Broker/Owner and the Data Security Coordinator responsible for our compliance with this policy.
2. What Information We Collect
We collect only what we need to serve you well as a real estate client. Specifically:
Information you give us directly
- Your name
- Email address
- Phone number
- Mailing address
- Any details you share with us about your home search, sale, or relocation needs (such as desired neighborhoods, budget, timeline, or property preferences)
- Communications you send us by email, text, or through our website forms
Information collected automatically when you visit our website
- Your IP address
- Browser type and operating system
- Pages you view on our site and how long you spend on them
- The website you came from before reaching ours
This information is logged by our web host (SiteGround) as part of standard server operations.
Information collected when you use our property search (IDX)
After viewing two property listings or three property images, you’ll be asked to register with our IDX provider (BoldTrail) to continue browsing. Registration requires your name and email and creates an account with BoldTrail to save your searches and preferences. BoldTrail’s data handling is governed by their own privacy policy.
Information we may receive incidentally during transactions
When SGR Group represents a seller and receives offers from buyers represented by other agents, those offers occasionally include financial documentation (such as proof of funds letters or bank verification) sent by the buyer’s agent. SGR Group does not request, require, or solicit this information. When we receive it, we share it only with the seller for the purpose of evaluating the offer, redact any sensitive details (such as account numbers or balances beyond what is needed to verify funds), and securely store the redacted version as part of the transaction file for the legally required retention period. Original unredacted versions are deleted from email after redaction. We never use this information for any other purpose.
Pre-approval letters that SGR Group’s own buyer clients submit with their offers are limited to the buyer’s name, the lender’s name, and an approval amount sufficient for the specific offer being made — we do not include or transmit Social Security numbers, full income, or banking information.
What we do NOT collect
- We do not collect Social Security numbers. Our contracts do not include a field for them.
- We do not collect bank account numbers, credit card information, or payment data.
- We do not collect biometric data, race, ethnicity, religious beliefs, citizenship status, or any sensitive personal data as defined under Texas law.
- We do not run advertising trackers, Google Analytics, Meta/Facebook Pixel, or any other behavioral tracking on this website.
3. How We Use Your Information
We use the information you provide to:
- Respond to your inquiries and provide the real estate services you request
- Send you market reports, listing alerts, or other communications you’ve signed up to receive
- Send you the buyer’s guide, seller’s guide, or other materials you’ve requested
- Contact you about your home search, your home sale, or your relocation
- Maintain accurate records of our work on your behalf as required by Texas real estate law
- Improve our website and the services we offer
When you submit a form on our website (such as the Home Value Estimator, Book a Consultation, or guide download forms), you agree that SGR Group may contact you by email, phone, or text about your home search — including via auto-dialed or pre-recorded messages. Consent is not required to receive any guide or service. Message and data rates may apply. You can unsubscribe from email at any time, and you can ask to stop phone or text contact at any time by emailing stacyg@sgrwelcomehome.com.
4. Who We Share Your Information With
We are selective about sharing your information. Here’s exactly who receives it and why.
We share your information with
- Members of the SGR Group team (Stacy Gonzalez, Frank Gonzalez, Xen Gonzalez, Rosale Bohannon, and any future licensed team members) when they need it to serve you
- Title companies and closing attorneys when you are under contract on a property — this is required to close the transaction
- The Multiple Listing Service (MLS) when you list a property with us — listing data is published to the MLS by industry standard
- Service providers we use to operate this website, specifically:
- SiteGround — our web hosting provider (stores server logs)
- BoldTrail (Inside Real Estate) — our IDX/property search provider (handles IDX registrations and saved searches)
- Trustindex — displays our Google Reviews
- Google Fonts and Google Maps — used for fonts and map services
- Mapbox — used for property maps within our IDX
- WPForms — processes our website contact forms
These providers are contractually limited to using your information only to provide services to us.
We do NOT share your information with
- Marketing partners, lead aggregators, or advertising networks. We do not have any such arrangements. Your information stays with us.
- Lenders, unless you ask us to. When you ask for a lender referral, we provide a list of trusted professionals and you contact them directly. We do not push your contact information to lenders without your request.
- Inspectors, appraisers, contractors, or other service providers, unless you ask us to make an introduction.
We do not sell your personal information. We do not sell sensitive personal information. We have never sold consumer data and we have no plans to do so.
5. How We Protect Your Information
We take reasonable measures to protect your information from unauthorized access, disclosure, or misuse.
- Active and recent transaction records are kept primarily as physical files in locked file cabinets at our Midland office. Access is restricted to the Broker/Owner and the Office Manager.
- Long-term archived records (typically transactions older than four years that we are still legally required to retain) are stored in secure cloud storage maintained by Google (Google Drive). Access requires authentication and is limited to authorized SGR Group personnel.
- Electronic records on team devices (laptops, tablets, phones used by SGR Group team members) are stored on password-protected devices.
- Access is limited to SGR Group team members who need the information to serve you.
- Email communications about your transaction are sent only to addresses you have given us or your authorized representatives (such as your attorney, lender, or title company at your direction).
While we follow industry-standard security practices, no method of electronic storage or transmission is completely secure. If we ever experience a data breach affecting your personal information, we will notify you as required by Texas law.
Handling of financial documents received from third parties
When financial documents from third parties (such as proof of funds letters from a buyer represented by another brokerage) are received as part of an offer, sensitive details (such as account numbers, routing numbers, or balances beyond what is needed to verify funds) are redacted before the document is stored in the transaction file. The redacted version is kept as part of the physical transaction file in our locked file cabinet. Original unredacted versions are deleted from email after redaction is complete. Access to these documents is limited to the Broker/Owner, the Office Manager, and the SGR Group team member representing the client, along with the client themselves.
6. How Long We Keep Your Information
We keep your information only as long as we need it for the purposes described in this policy, or as required by law.
- Active client records: Kept while we are working together and for the duration of any active transaction.
- Completed transaction records: Kept for at least seven (7) years after closing, as required for Texas real estate brokerage record-keeping and IRS purposes.
- Website inquiries that do not become clients: Kept for up to two (2) years, then deleted.
- Marketing email contacts: Kept until you unsubscribe.
When we no longer need your information, we delete or destroy it in a manner that prevents recovery.
7. Your Rights Under Texas Law
The Texas Data Privacy and Security Act (TDPSA) gives Texas residents specific rights over their personal information. SGR Group respects these rights regardless of whether the law technically requires us to.
You have the right to:
- Confirm whether we are processing your personal information and access the information we have about you
- Correct inaccuracies in your personal information
- Delete the personal information we have about you (subject to record-keeping requirements that apply to real estate transactions)
- Receive a portable copy of your personal information, if technically feasible
- Opt out of the processing of your personal information for purposes of targeted advertising, the sale of personal data, or profiling that produces a legal or similarly significant effect on you
SGR Group does not engage in targeted advertising, sale of personal data, or profiling, so opt-out is automatic — you are already opted out by default.
How to exercise your rights
You may submit a request by either of these methods:

Please include your name, the email address or phone number you’ve used with us, and a clear description of the request. We may ask for additional information to verify your identity before processing the request.
Our response timeline
We will respond to your request within 45 days. If we need more time, we will let you know within the initial 45 days and may extend by an additional 45 days when reasonably necessary. There is no fee for the first two requests per year. Excessive or repetitive requests may incur a reasonable administrative fee.
Appeals
If we deny your request, we will explain why and provide instructions for appealing. You may also file a complaint with the Texas Attorney General’s office at texasattorneygeneral.gov.
8. Cookies and Similar Technology
Our website uses a limited number of cookies, all functional in nature:
- Session cookies required for our website forms (WPForms) to function correctly
- BoldTrail/IDX cookies that remember your property searches and saved listings if you register with our IDX
- Trustindex cookies that load our Google Reviews widget
We do not use advertising cookies, retargeting pixels, or behavioral tracking cookies. We do not participate in any cross-site tracking networks.
Most web browsers allow you to control cookies through your browser settings. Disabling cookies may limit some functionality on our site (for example, our IDX property search requires cookies to remember your registration).
Some browsers offer a “Do Not Track” signal. Our website does not currently respond to Do Not Track signals because there is no industry-standard implementation, but we do not engage in cross-site tracking regardless.
9. Children’s Privacy
Our website and services are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal information, please contact us at stacyg@sgrwelcomehome.com and we will delete it.
10. Links to Other Websites
Our website contains links to third-party websites (for example, the Texas Real Estate Commission’s Information About Brokerage Services and Consumer Protection Notice PDFs, Google Maps for our office address, our social media pages, and listing pages on the MLS or BoldTrail). Once you click a link to leave our site, we have no control over what that other site does with your information. We encourage you to read the privacy policies of any third-party websites you visit.
11. Changes to This Policy
We may update this policy from time to time as our practices change or as the law evolves. When we make material changes, we will update the “Last Updated” date at the top of this page. For significant changes, we will provide additional notice (for example, by posting a notice on our homepage or emailing clients on our active list).
We encourage you to review this policy periodically.
